WhatsApp vaccine reminders are the single cheapest way for an Indian vet clinic to bring owners back for boosters, dewormings and follow-ups. Owners read WhatsApp; they ignore SMS and miss calls. But a reminder system that works for a few hundred owners every month needs more than a phone and a broadcast list. This guide walks through the setup step by step: the account you need, consent, templates, timing, fallback, cost and how to measure recall.
WhatsApp Business app or WhatsApp Business API?
There are two ways for a clinic to send WhatsApp messages, and they suit very different volumes.

For vaccine recall, the API is the right choice once you have more than about 100 vaccines due in a month. It is what lets reminders go out on their own at 9 AM every day.
Step 1: Get a WhatsApp Business API number
You need a phone number that is not already registered on a personal or Business app WhatsApp account, a Meta Business account, and a provider (a Business Solution Provider) that connects your software to the API. Many clinics use a new landline or a dedicated mobile number for this. Display-name approval is usually quick if the name matches your clinic signboard. Step 2: Collect consent the right way
WhatsApp requires an opt-in before a business messages a customer, and the Digital Personal Data Protection Act 2023 expects consent for using a personal phone number. Make it simple:
- Add a line to your registration form or tablet check-in: "I agree to receive vaccine reminders and updates about my pet from the clinic on WhatsApp."
- Record where and when the owner agreed: front desk, online form or verbal at the counter.
- Honour STOP at once and record the opt-out. Never re-add an owner who opted out.
Owners almost never refuse. They want the reminder; what they object to is promotional spam, so keep reminder messages strictly about their pet.
Step 3: Write templates that get replies
Every automated WhatsApp message is sent from a template that Meta approves in advance. Vaccine reminders belong in the utility category, which is cheaper than marketing and is approved quickly if the message is clearly about an existing service. Variables in double braces are filled from the record.
Due soon: "Hi {{1}}! {{2}}'s {{3}} is due on {{4}} at {{5}}. Reply 1 to book the suggested slot or 2 for another time."
Several pets: "Hi {{1}}! Vaccines due at {{2}} this week: {{3}}. Reply 1 to book one visit for all of them."
Overdue: "Hi {{1}}, {{2}}'s {{3}} was due on {{4}}. Protection drops after the due date. Reply 1 and we will find a time that suits you."
Puppy series: "{{1}} has had vaccine {{2}} of 3. The next dose on {{3}} is the one that completes protection, please do not skip it."
Tamil example: "வணக்கம் {{1}}! {{2}}க்கு {{3}} தடுப்பூசி {{4}} அன்று போட வேண்டும். முன்பதிவு செய்ய 1 என பதில் அனுப்புங்கள்."
Three rules make templates work: put the pet's name in the first line, give one clear action, and keep it under 300 characters. Avoid offers and discounts in a utility template; they push it into the marketing category and may get it rejected.
Step 4: Load schedules and last vaccine dates
Reminders are only as good as the due dates behind them. Set up one schedule per species with each dose and interval (see the puppy and kitten vaccination schedule for India), then import existing patients with their last dose dates. Without the import, only new puppies get reminders and your existing owner list, which is where most boosters come from, stays silent.
Step 5: Choose timing and grouping
- Window: send up to seven days before the due date. Earlier and owners forget; later and the slot they want is gone.
- Send time: 9 to 10 AM or 6 to 7 PM local time. Never late at night.
- Grouping: one message per owner listing every pet due that week. Three messages to the same owner in a day reads like spam.
- Overdue follow-up: one nudge a week while the dose stays overdue, and stop after three or four. Then hand the short list to reception for a call.
Step 6: Add an SMS fallback
Some owners, often older owners and farmers, do not use WhatsApp or have it on a different number. For them, send an SMS. In India, commercial SMS must go through a TRAI DLT-registered entity, sender ID (header) and content template, so register these once through your provider. An SMS on a DLT route costs about ₹0.18.
Step 7: Measure recall every month
Recall rate is the share of vaccines that fall due in a month and are actually given within 30 days of the due date. Track it per month and per vaccine. Look especially at the third puppy dose and the first annual booster, where most clinics lose owners. A rising recall rate is the clearest proof that reminders are working, and the overdue list tells reception exactly whom to call.

- No owner language setting, so Tamil- or Hindi-speaking owners ignore English messages.
